The seamless interaction with Microsoft programs is the best-ever feature. This made incorporating the use of M-files into our office routine a breeze. A simple and intuitive graphical workflow designer is also my favorite which makes creating a workflow a little simpler. We were able to set up procedures for modification management and new data management with M-Files.

We experienced some challenges with the rollout because we had to coach all of the customers, especially those who found it not so easy to use and clean at first.

It has made it much easier for us to organize, store, and find important research files. I don't need complicated folder structures because the metadata-driven method is one of the best parts. It's very easy to find specific research files by keywords, projects, or even the type of document because M-Files lets us tag documents with relevant information. This saves us from having to look through a huge number of directories by hand. Finding and managing important info has become much faster and easier thanks to this feature.

Experts say the system works great, but new users often have trouble getting the hang of the metadata-driven method and using the platform effectively. Additionally, the customization options are very useful, but they can be too much to handle, especially when trying to make workflows fit the needs of a particular project.

As you know there are multiple documents managemt application avalible in the market.i personally believe they sould more focus on features and seamless service towards the customers.

There are some minor limitations with this system. When checking out documents to work on, they are checked out to your local computer rather than online, without an option to choose 'offline' mode.

However, there is an option to: ‘Check out for co-authoring,’ which is similar to Google Docs or MS SharePoint, allowing multiple people to edit simultaneously. The latest approved version is always available to others, and an admin can ‘force check-in’ if the system is configured for it

M-Files has documents collaboration features that makes it easy for our teams to work collaboratively on single documents. M-Files also has automations that help us create forms automatically making the task less attention and time taking. It has excellent document search features that help us to find the specific file we are looking for very quickly. M-Files top end security and data privacy features help keep our documents and the information they contain very safe and secure.

Our only issue has been the pricing. Although we close an eye to it because of the services we get, M-Files is a bit pricey.

I can easily find and download information like invoices, purchase orders, and quality records using the strong search capability in M-Files. And since file classification and sharing are simple using the centralized folder in M-Files, it helps me to simplify document administration. Also having the ability to automatically send renewal reminders and classify certificates and evaluations depending on properties is really great.

Based on my personal experience, opening folders or documents on cloud based M-Files usually takes too long due of the slow processing speed. Also the complicated authorization and file sharing system makes it difficult for me to maintain track of external user requests or overdue approvals.

I like that M-Files software is easy to use and is an efficient way to organize and access files. It has a great user interface and makes it easy to search and find the files you need. Additionally, it has a powerful set of features that allow you to customize the way you store and access files.

I dislike that the software can be a bit expensive for smaller teams or businesses. Additionally, the setup process can be a bit long and complicated for those who are unfamiliar with the software.

Our office being limited with space has decided to keep tidy and lean by going digital. We tried M-files because it has good reviews, good recommendations from industry partners, and it has been receiving awards as well.

So far, so good. After manual scanning, we upload our files into the M-files vault and everything is securely stored and easily accessible in one place. Searching for the file you need is easy because M-Files makes searching via metadata, and also not by location logic, but by what the document you're looking for is.

Workflows is another reason we took M-Files in. We played around with it and it really is easy to create workflows via the graphical logic setup screen. Even the non-technical staff understands how the design works because it is pretty intuitive and straight-forward.

M-Files has changed its delivery and pricing model. We have a perpetual license for 2018, but it turns out we need to upgrade into the subscription model for M-Files 2019 in order to continue receiving the updates, upgrades, and customer support. Since we have not yet upgraded, we are put on hold in terms of implementing our digital workflows. Now we're just waiting for the next budget season and release to upgrade.

Versioning functions allows you to go back if you made a mistake. Also, its integration with MS office is useful.

Overall user interface is very bad. Not encourage you to use it. Also, link sharing etc is very hard. People are always frustrated with new tools and it is not easy to encourage them to use. Thus, user interface and easiness of use is key. Mfiles does not provide that.

Seem less integration with Windows and Active Directory. Users can simply drag and drop files into the M-Files client or via a browser (requires plug-in). User can tag favorite files and search based on multiple file attributes or tags.

Server setup (Window 2012 or higher) is straightforward with the option of M-Files database or Microsoft SQL server. For smaller organizations, I recommend using the built-in database option.

M-Files installation and administration requires much less planning compared to SharePoint.

Not a full featured when compared to SharePoint. Does not offer collaborative features such as Web or Office365 integration.

All uploaded documents can be opened by phone in anywhere where you have an internet access. Also customized category definitions help to find documents quickly.

Windows folder type (drop and upload) strategy can be implemented to user interface to provide more flexibility to users when they need to upload more than one document.
