Great Project Management Software

It organizes my life every day.

Solid options for organization and streamlining processes that even clients can be taught to use. As a creative agency selling our time it's important to communicate quickly and efficiently with our clients. A big part of that happens at the beginning of every project when they fill out a creative brief. We've used ActiveCollab to set up standard brief templates so AC asks all the questions and they go down the list and fill it out. The time tracker works great and is a painless way to keep track of time. Email notifications are great, especially being able to respond to comments VIA email really speeds things up. Support staff is great. Always available and helpful.

Desventajas

The invoicing functionality is great but is missing major sorting and display capabilities. For example, if I wanted to show each time entry with its note about what that entry was for organized by project, I cannot do that. My wife has also complained about the App not having a lot of functionality, but I have not used it much personally. I also think the 'Notes' 'Files' and 'Discussions' tabs are kind of random. Haven't found a good place for those in our workflows and they're confusing for clients. I realize it's a big thing to ask, but I'd also like to see some way of incorporating something like Slack into Active Collab, so we can move away from Skype completely.

Collaboration on the project and task level - ActiveCollab is the middle-of-the-road solution

Using ActiveCollab daily for over two years felt easy, but also like a chore sometimes. Doing things manually falls within one's job, and it offers good control over how things happen, but sometimes you just want to automate things exactly to your liking. The former describes using ActiveCollab better, but as mentioned, that is sometimes a good thing.

For all intents and purposes, ActiveCollab is awesome at doing what it advertises it's doing - project and task management, with easy-to-use, uncomplicated and effective tools. And really, especially on the task level, it is great and will save you a lot of time and brain power.

Desventajas

On the other hand, if you're the one to experiment with your software, look for ways to improve it in new and unexpected way, I hope you're not expecting a lot of success with ActiveCollab. It is a good piece of software, as long as you stay within its area of expertise. Otherwise, you're just stopped in tracks for the most of time, with little or no ways to go forward.

Good choice for a basic project management tool but lacking when compared to Basecamp

ActivaCollab is still at the initial stage in terms of features even though they have been in the market for a couple of years. It serves our initial purpose of tasking team mates and tracking task conversation and progress but not more than that. Based on that, our usage is limited to basic tasking and we are considering and exploring migrating to a different system.

Onboarding is easy, interface is easy to use and understanding. It's also one of the cheapest option in the market. For features that are not available, the ActiveCollab team is keen to consider adding that feature though during our usage, we didn't really see the feature being rolled out.

Desventajas

I used to use Basecamp and when compared, there are a lot of features that are lacking in ActiveCollab such as being able to create a Gantt timeline, quite messy grouping of projects on the main home page, not able to add vendors (only can add clients, yet we do not use ActiveCollab to collaborate with clients). As a project management tool, we also would like to see how we can gauge the workload of each team mate and if each team mate might be overload within the day or week, this function at the moment is not available. Completed tasked are being archived and under archived, the completed tasks are not organised according to task list. Some features such as invoicing and budget management cannot be adopted by finance team as they uses a more advanced thou legacy system which includes a whole lot of other functions on top of merely invoicing.

A sleek yet powerful project management software way above its competition

It helps me organize a great number of projects as one-man business without losing more time than necessary.

It's amazing how flexible AC can be depending on a project's needs. It can serve as a simple reminder list with great speed and simplicity but also get fully blown up for projects involving production teams and clients at once. Compared to its competition it never feels like its dictating you to use it in a certain way, it just hands you a great bunch of options and lets you use them without interference. I use other products like dropbox and dropbox paper too and it all goes together really nicely.
One thing to note is a personal and genuinely helpful customer service, there have been issues and bugs here and there (not many) and in 90% of the cases they were solved within short time.

I think AC is great for freelancers and small project groups working remotely I switched from Basecamp and it was one of a relief.

Desventajas

I personally don't like the free limitations of users. I know there's a business model behind it but I hate to delete other clients/team members just to make room for someone else.

ActiveCollab is one of the easiest PM tools to migrate to

Overall, I really like the product and I think for any team that has been plagued with trying to find the "right solution" to their PM needs, either overwhelmed by more technical PM tools or underwhelmed by lightweights, then ActiveCollab slots in nicely as being a very viable, competitive solution. You just have to ask yourself if the pricing is worth it.

There are actually two PM tools that I absolutely love - Nifty and Ora, however, as much as I love them, they're a bit too "technical" for the layman to use. If you're not heavily invested in software development, they can be overwhelming, but ActiveCollab offers a really clean UI and superb UX that make onboarding new, casual users a breeze.

The features offered in ActiveCollab are on par with the industry and mean that you can grow into the product as a team without worrying about boundaries for the most part. I only say "the most part" because I'm on a lower tier plan that doesn't include things like Invoicing (something I use a different product for anyway).

Desventajas

While I guess it can be seen as a "smart" business decision, I think gating things like Invoicing behind a pay wall doesn't feel great as an end user. It's just the psychological aspect of it all, right?
If you said I had to pay $7.50/month for a plan and then an additional $3/month for Invoicing, I would be less inclined versus just being asked to pay $10/month for everything.

I think the pigeon-holing of Invoicing being behind a plan that is also a price per member can also be a crux because the functionality doesn't really change between a 2 person operation and a 200 person operation, but the two would pay a crazy amount of difference ($6 vs. $600) just for Invoicing.

In such a complex world, where the time and control factor in operations makes a difference, it is vital to have a platform that allows access to many tasks that, otherwise, would involve and coordinate many people, this type of tools allows us to save costs and reduce involuntary human errors, in everything that refers to the necessary coordination between all the members of the project. The calendar allows to have all the tasks, meetings, and filter the tasks by projects, and if that were not enough, all this can be complemented with the participation of the members remotely, so that it is possible to follow the general state of the proyects. In case of any problem, the support team is attentive to clarify your doubts, there are still elements that we have not had the opportunity to explore, but that, surely, according to our needs we will be using them to solve the growing demands of our organizations.

Desventajas

As with many platforms, the versions that are used in tables or smart devices show some limitations, in relation to those that are handled by PC, it would be very important to preserve and maximize the benefits when you have other devices and not limit the functions that, After all, knowledge or traditional devices for solving problems are not always available.

Collaborative working made easy

It's a great Project Management System. We moved from a legacy system and had prerequisites for our agency: project & task management, people/roll management and time management. It does these with ease. Then it layered great collaborative working.

Desventajas

The recently launched "workload" feature is an add-on additional cost. As a SaaS the competition is fierce for features and benefits. I personally think this should have been part of their bundle, not additional.

A great project management tool for design studios

We've been using ActiveCollab since version 1. We needed more features and flexibility than other project management systems provided and we also were looking for an invoicing system. ActiveCollab provided all of that in one package and we could buy a license to run on our own server instead of paying monthly fees. This pricing model was very attractive for us along with the extra features to make the system fit our project management workflow, made ActiveCollab an easy choice.

Desventajas

The mobile app isn't the best. For those who heavily rely on using their project management system on mobile, this might be something to consider. I'm not a fan of the themes in the theme option, but if using the self hosted version, then you could potentially adjust styling to fit your business better.

Helpful tool for organizing

I use this tool daily to assign tasks to the team. It is a good helper and in general I am satisfied with how the application works.

ActiveCollab is Basecamp, but better and cheaper

Overall, this is a major tool for the day-to-day operation of my business. Support is at least average, functionality is fairly complete and mature, and it is a pleasure to use.

I started using ActiveCollab back when it was open source and contributed to the code. Since then it has matured a lot. It is a great over-all solution for project management, communication, time management, and even invoicing. The interface is well-thought-out and has few glitches.

Desventajas

The reporting functionality leaves a bit to be desired, but gets the job done. As others have mentioned, the search functionality is not great and setting up Elastic Search for the self-hosted version is a bit involved. Also, the mobile apps are not great.

The Right Project Management Tool for Small to Medium Sized Team

It's easy to use and worth the cost.

My team and I do really like the simplicity of the software. It helps us focus on doing the tasks rather than figuring out how to use the software correctly to assign tasks.

Desventajas

- Unmaintained mobile apps, both iOS and Android versions.
- No function to duplicate tasks list.
- Zipping attachments from a task to be downloaded, takes forever.
- Bulk actions on tasks seem to need an improvement on UX so that it's more user friendly to use. Currently, we need to scroll up and down to choose the actions.
- On the Reports page for Tasks, every time we choose a Custom Report, the columns and "sort by" are always reset.
- As admin, I can't see the full list of other user's Activities. I can only see the last 5 or something.

I might be able to give some more feedback. Do let me know if it helps improve your product :)

I can't say enough good things about ActiveCollab

ActiveCollab keeps our company organized, on task and on budget. From tracking work and projects to tracking the financials surround ing those projects, we couldn't live without ActiveCollab. I love how ease to use it is and how easy to navigate it is.

Active collab is intuitive, easy to use and easy to navigate. There are MANY other project management tools out there and I've used a number of them. Active Collab is the best in my opinion in light of the integrations and ease of use.

Desventajas

There are a number of more in-depth features that are sometimes hard to find in ActiveCollab. Nothing a simple support ticket can't solve though.

Great Product, Bad Support

ActiveCollab is very easy to use. With just a few clicks, you can have a new project created right away. Time tracking, invoicing, payment processing and many other features add an already large depth of features.

Desventajas

Support is quite bad, at least for the self-hosted release of the application. There is no ticketing support system, and instead you have to chat with staff through the activecollab.com site to be able to get issues logged. You never get professional assistance through chat. They copy and paste your chat into their internal support system. You're then at their mercy to reply back via email. If and when they do write you back to your email address, be prepared for long followups to your replies.

When features are broken in ActiveCollab, if a fix is not on their roadmap to get the problem resolved, it will take a long time, if ever, to get the problem fixed.

Elastic Search is not a great feature for self-hosted AC builds. However, search has always been horrible with AC since it's early days.

Convoluted structure is a hindrance to workflow

We ended up transferring from ActiveCollab to Teamwork fairly quickly because it caused some business problems for us. Issues were missed (especially subtasks), and we lacked the reporting structure we needed to keep a good grasp of resourcing and individual task progress. The time logging structure was also a pain point compared to alternate software options we've since pursued.

While I will say I don't like much about this software, the budget and description location/transparency works well for the task workflow. It is fairly easy to include all necessary information in an individual task, but detail tracking and dependencies are where this ease of use falls off.

Desventajas

The relationship between tasks and subtasks is a pain point and lacks clarity/definition. Sometimes there would be dropoff when trying to upload attachments, and they would not actually post to the task. ActiveCollab doesn't have a great reporting structure (compared to Jira) for our specific needs, and that ended up being a hindrance to workflow. For as complicated as the reporting section looked, I felt it was lacking. While it isn't a functionality issue, I also dislike the visual design of the software - it feels antiquated and can be draining for such a frequently used tool. Time logging was difficult compared to the software we moved to later.

Great task management application

Activecollab are great, we were previously using 3 different Basecamp accounts for our sister companies. Basecamp was becoming a nightmare, it's ugly and the support is bad. We frequently have projects running over as an example, usually as we are waiting on information so we need to manually update every task deadline (Slow and painful) Activecollab allows selecting the project and bulk updating the deadline on the tasks, or in a list view one by one which is quick and easy.

We opted for the self hosted version and use an amazon AWS Elastic Search Service for searching. this is so much cheaper than what Basecamp was costing and so much more user friendly. Anyone big plus factor is, we were able to customise the software a bit (Against their guidelines) to give it some branding for our company by including an additional CSS file, we have to add this after every update but it's worth it.

Desventajas

Lack of built in customisation
Email sending is limited in regards to daily reports etc
Requires Elastic Search which is on another server/service, whilst not a huge deal it would have been nice to have a local native search and a high performance option using Elastic Search.

Active Collab is helpful in keeping everyone on the same page and up to date on tasks

Overall, I really like ActiveCollab as a project management tool. We have been able to onboard folks to it quickly and again, I like to have one place that I can go and see all my active projects and current tasks. You are also able to see past projects and tasks.

I like that I can go one place and see all my tasks for the projects I am a part of. It is easy to tag people and the software is pretty intuitive. It allows many people to be part of the big picture and stay up to date on the progress of projects. It also cuts down on the number of emails I need to send because I can follow up on items within the program and tag people.

Desventajas

The customer support often leaves something to be desired. When issues arise it is not usually a quick fix and when Active Collab is down, our project management comes to a halt because this is the key to our success. The everyday support for quick answers is fine, but when major issues arise the solutions are not always quick.

More efficient project management. More time spent on work, less time searching for files or waiting on emails.

It has the sophistication we need and remains very easy to use. I have tried nearly every other project management software out there, and this one makes the most sense to me. It allows us to effectively collaborate with clients, and it gives us complete control over what can be seen and accessed. We use it for time tracking as well. It connects with a number of other services including Quickbooks. They really seem to listen to their users. I have asked for things and have seen them implemented. Overall, it is a great solution for us, and I do recommend it to anyone looking to better manage their projects.

Desventajas

I did like a little more flexibility in the license levels. It would be nice to pay by the user when we need extra users rather than have to bump up to a level that many more users than we currently need.

Best Collab Tool Out There

Over the past 10 years I worked with several online project management, collaboration and accounting tools, including Basecamp, Harvest/Forecast, Freshbooks, Trello, Asana, Teamwork, Podio, Wrike, etc. Two years ago we started working with Active Collab, and it is the most comprehensive tool so far. Not everything is perfect yet, but compared to all other tools out there, it does the best job in modelling your business, enabling collab workflows and being on top of all projects developments. And it has a nice UX, which is very important if you work 8+ hours a day with an app/software/tool.

Clean and pleasant user interface with most of functionality that we need

It is our primary task tracker that we use for each and every project we work on.

1. Nice and easy-to-use interface. No issues with using it for several hours a day.
2. Several nice feeds: global (across all projects), project-wide and personal.
3. Ability to estimate and then track time for a given task.
4. We are an agency and our clients are REALLY NOT eager to use various task-trackers that different agencies push onto them. Thankfully, you can respond to any ActiveCollab comment via email so our clients do not even need to open ActiveCollab to collaborate with us. Meanwhile, we have all messages and comment in a nice and clean order, all inside our comfy ActiveCollab interface.

Desventajas

At some point we decided to move to a self-hosted version of ActiveCollab. By that point we've been using ActiveCollab for a while and our database (including all the files) was about 150GB. Unfortunately, it took about 6 weeks (from 16/10/2017 to 30/11/2017) for the guys over at ActiveCollab to provide us with a link to download our data.

Healthier and happier team... creativity up due to managers and admins kept at bay. Because they feel like they can see everything that's happening with long term and short term projects, a freedom for creatives to be creative has been a very welcomed change. We're faster at what we do and quality has gone way up. Efficiency is becoming our norm.

MOST: The desktop version. Structurally and organizationally sound. Streamlines workflow and allows multiple leads to see the workload and run reports on their various departments. Really helps with tracking estimated time for the individual and their part in the project. Communication is up and the stress of the communication is way way down. Creatives have more freedom and administrators and managers feel like they have the control they need. Love the Command+K shortcut we found today. We're still learning how to customize it to our team. It has made dealing with 60 national brands much easier and has put an end to the grade school feeling of walking up to the gigantic whiteboard to move color blocks around.

Notifications - We believe if a Project is set up and has multiple tasks that run linearly, we should be able to connect them and have a notification sent to the next person when the person before them has completed their task - An automated "passing of the baton" type of thing.

Enables us to work efficiently on multiple tasks, with multiple users across multiple projects and multiple geographies. It's not too complicated for non-technical users and not too simple when dealing with technical issues with developers. Also can be used many different types of projects.

Desventajas

We would like more elaborate options for "operational analytics". The reports are ok, but we still have to do too much manual manipulation of data to get what we want. We would also welcome SMS/Text alerts and integration with services such Ghost inspector (e.g. automatic ticket generation).

ActiveCollab is worth it for us.

It does what we need for the most part, at a reasonable price.

ActiveCollab is pretty straight forward for our needs of project management.

Desventajas

We like being able to create templates for projects, however, there is no ability to copy a template and adjust it to be a different template. Every template needs to be made from scratch, and there's not an easy way to even copy and paste things from other templates. A lot of our templates are similar but have variations. We've contacted support multiple times and they like our idea, but they haven't done anything about it in about two years of asking.

Easy in use and very practical. One of the best PM-tools i've ever worked with.

I find it very easy to work with. I have already adviced people to use it, because I really like to work with it. It's also not expensive, which I find a very important asset.

It allows you to make different projects and within the projects itself you have tons of options. Also, you can make tasks and subtasks and assign them to someone, which I find very usefull, certainly when working with a lot of people. The billing-tool is also very easy. I've been working with ActiveCollab for a while now, and it's by far one of the best project management tools I have used.

When we were looking for a tool to help us manage our small business, many tools were complicated or over priced for just what we needed. ActiveCollab was perfect in price and functionality.

Desventajas

I would like to control some of the notification features more. For example, I'd like to disable/modify when the Daily report is sent out and it would be great if there's an option where members of a project that are subscribers can get a notification of an update and not all the details.
